Technology Checkout (loaners)

We utilize the loaner checkout extra built into Sassafras to track these requests.

Sassafras Loaner

  • Ready to Loan - These devices are in our office and available for loaning out to Faculty/Staff/Students
  • On Loan - These devices are currently out on loan to somebody
  • Due Dates - These devices are past their due date and need to be returned

We (Technology Service - PVFA) have devices that run an Operating System (computers, rasperry pi's, etc) where the HIVE has accessories and other things that do not (cameras, hard drives, wacom tablets etc). If you get a request for something we do not have direct them to the HIVE in Langford C 4th floor.

Check-out Procedure

  1. Ask the borrower how long they need the loaner and if it is a mac or pc?

If the requested time is more than 2 weeks, Inform the borrower that the device MUST be brought into the office every 2 weeks while on loan so we can ensure patching is occurring and that we do not have backlogged requests for that device. If they do not adhere to this their privileges to use PVFA's loaner pool will be revoked.

  1. Inspect condition of loaner (note any cracks or blemishes in notes field of the asset in sassafras), also be sure the power cord and Apple pencil (ipads only) are in the bag
  2. Have the borrower login to the computer before they leave
  3. Pull the labeled bag out of the cabinet and put the computer in the bag. The bag MUST match the label on the computer
  4. Proceed to checking out the computer to the requester in Sassafras
    • Follow the check-out wizard/procedure in the Loaner Checkout Tab of the Sassafras dashboard

Check-in Procedure

  1. Inspect Device (ensure no additional damage, if there is damage get a FTE immidately)
    • ensure the bag contains the power cord and Apple pencil (ipads only)
  2. Check the computer in on Sassafras
  3. Put the computer bag in its labeled spot
  4. Put the computer on the bench and re-image to factory defaults
  5. Once re-imaging has been completed, place device back on charging cradle

Policies

Labeling

  • We have a direct labeling system now: Lenovo 1, Lenovo 2, Lenovo 3, MACBOOK 1, MACBOOK 2, IPAD 1, IPAD 2, IPAD 3. There is a cooresponding bag that links to every computer, it is critical that the right computer goes with the right bag
  • The power strips and accessories also STAY in the bag and we have dedicated chargers on the charging cradle
